SLA 2002 Annual Conference Volunteers Needed!!!!!!As we get ready to for the SLA 2002 Conference, we as the host chapter will be heavily involved and crucial to the success of the conference. We need your assistance in hosting our fellow SLA'ers. Below is a description of each committee and what is involved if you volunteer for that committee. Please contact committee chairs to offer your services; a large group of volunteers ready and able to help our colleagues will help make everyone have an enjoyable conference experience. If you have ever used the information booth at previous conferences, this is your chance to return the favor.Hospitality Booth Design & Planning - Committee Chair Teresa Bailey This committee works on the design for the Local Arrangement booth and on Thursday, June 6, 2002 the committee will work together at the Los Angeles Convention Center in putting up those decorations. SLA provides the chapter with a booth space in the registration area where there is good visibility. SLA supplies the space, tables, chairs, pipe and drape, easels (if requested), bulletin boards, etc. Space is 10 x (15 to 25), depending on what we need. Hospitality Booth Staffing Rita Costello This committee needs many volunteers to stay in the booth during designated hours from Sunday June 9 through until Wednesday June 12. You will be able to sign up for hours that best suit your schedule and you will be greatly assisting colleagues in making their way to the places around the city. Schedules will be kept for each day and someone will check the tables to make sure everything is running smoothly. Volunteers will be asked to donate their time during the conference during the following hours: Los Angeles Booth staffing hours
Message Center - John & Ann Shea SLA requests help from the host chapter in monitoring the message center. The center is usually located close to the hospitality booth and SLA can use help to keep the bulletin boards neat and tidy, make sure there is a good supply of message cards and pins on hand, etc. The staff of Conferences & Meetings will provide the chapter with the necessary supplies and give further instructions onsite. The chapter will not be expected to provide any support for the computer messaging system. Dinner Buddies Program - Committee Co-Chairs Billie Connor-Dominguez & Jean CramponThis committee will escort groups of Information Specialists to dinner. Everyone will take a group of around 6-10 people to a restaurant. Sign up sheets will be at the conference and meeting times must be set. This program is Dutch Treat. Only 2 nights are essential, Saturday and Monday are recommended. The dinner buddies concept was introduced several years ago and has been extremely well-received. Intended as a way to provide dining companions for members who do not know many people, who do not have invitations to parties, or who want to enjoy a recommended dining experience, it has attracted a wide cross-section of attendees and is a great way to meet new and interesting colleagues. Chapter volunteers lead a group of attendees to a restaurant of their choice, either by driving their car or choosing a restaurant that can easily be reached by public transportation. Depending on how many people the leader can accommodate, that person makes a reservation for the night of their choice, provides information about the restaurant, possibly including a menu, to be displayed in the booth, and announces the meeting place and time. Attendees sign up for the dinner group they would like to join. Restaurant/City Guide - Committee Chair Snowdy Dodson This committee will create a simple guide based on reviews available and anyone they might know in the Los Angeles area. This committee will create a list of businesses that are near the conference hotels that may be of use to attendees. An example: drug store, copy services, medical facilities, etc. The host chapter usually provides a restaurant guide, although it may vary considerably in the level of sophistication. In planning the guide, it is a good idea to first review what restaurant guides will be provided to attendees in their hotel rooms. The best guides tend to list those favorites that are known only to "locals" and not just "tourist traps." A guide listing a good mix of sophistication levels, price levels, and food types is essential. For larger cities, a geographic listing may work best. A section listing quick places to eat near the Conference hotel can offer respite from the monotony of hotel coffee shops as well as some quick exposure to the local ambience. Some chapters have successfully produced a simple listing that served this purpose well. Others sought advertising and ended up with a very sophisticated product. Only the local members will know what is most suitable in a particular case. Library Tours – Committee Chair Snowdy Dodson Provide a list of local libraries willing to conduct tours. Public Relations - Committee Chair Lys Chuck This committee will write short articles for SLA encouraging people to attend the conference in Los Angeles. They may also be called upon to write other promotional materials. PROMOTION OF THE CONFERENCE CITY VIA SLA PUBLICATIONS The host chapter is requested to provide articles for SLA publications, promoting various facets of the host city. This pre-conference publicity is important in encouraging SLA members to attend the conference, as well as in helping them prepare to take full advantage of the city's attractions during their brief stay. Reprints of several of these articles may later be useful handouts in the hospitality booth. The specific schedule of articles will be communicated to the chapter by the staff of Conferences & Meetings after consultation with the Editor. Conference articles will appear monthly. Articles will include specific meeting information (supplied by SLA staff) and city information (supplied by the local chapter.) An actual schedule needs to be developed during the summer months. A similar arrangement is also proposed for the SLA Web page. Once the articles have been produced and printed in the magazine, they could be placed on the Web. Giveaways/Handouts - Committee Chair Deborah Hartzman This committee will gather handouts and promotional items for the L.A. booth such as city maps, bus and train schedules, entertainment guides, etc. Web Page and Listserv – Committee Co-Chairs Barbara Amago & Doris Helfer This committee has created the Local Los Angeles Conference Page and will continue to update it with new and up to date information as well as monitor/run the discussion lists. Committee members are needed to answer questions asked on the discussion list by those people planning to attend the conference. This will help answer questions of out-of-towners about places they might like to know more about. Vendor Relations - Committee Chair Seymour Satin This committee will raise funds to cover all the varied events hosted by the Southern California Chapter, including the Chapter reception, the booth and the guides.
